Our Terms & Conditions

Harley Street Fertility Clinic’s Terms & Conditions apply to all treatments and services carried out.

  1. Harley Street Fertility Clinic and its staff will render all treatment and services to its patients on the advice or order of the medical clinicians working within the Clinic
  2. Harley Street Fertility Clinic and its staff will not accept liability for any loss or damage to cash, valuables or personal effects that the patient of any other person brings into any of the Clinic’s premises, whether such loss or damage occurs as a result of negligence or otherwise.
  3. All persons attending Harley Street Fertility Clinic must refrain from taking photographs or any audio/video recordings within the Clinic without consent from the management, in order to maintain privacy and confidentiality for all patients and staff.
  4. A non-refundable deposit is required for all bookings of £50. This fee or the amount on account equal to the fee for initial consultation treatment must be paid 48 hours in advance of clinic appointment and on presentation of an invoice. This can be paid securely by over the phone credit card payment. Thereafter the Clinic will require further payments on account so that treatment and services will be fully paid for in advance of being rendered.
  5. The Clinic may require the account to be pre-paid even if the patient holds full medical insurance – the patient is responsible for claiming the funds from their insurance company. The Clinic will not be responsible if the insurance company will not cover the claim.
  6. If the patient fails to pre-pay in full for any treatment, the Clinic reserves the right:
    1. to cancel any treatments if they have not been pre-paid 48 hours in advance of appointment
    2. to charge monthly interest at 8% over HSBC Bank base rate
    3. to charge a late payment fee for any treatment invoices that are not paid by their due date
    4. to take legal action against the patient if the account remains unpaid for more than 31 calendar days
    5. to charge the full amount of administrative, legal and other costs in recovering unpaid invoices
  7. In all circumstances, responsibility for payment of the Clinic’s account ultimately rests with the patient. Should sponsorship fail or insurance claims be declined in whole or in part, then the patient will be required to pay the final bill in full.
  8. There are times when treatments need to be cancelled due to the patient’s welfare and in these circumstances a charge will be made to cover the Clinic’s costs for ultrasound scans and monitoring – please refer to the Clinic’s current price list for those charges. Link to web page
  9. In the case of a no show for a clinic appointment, the treatment fee or minimum cancellation deposit of £50 will be charged, whichever amount is the greater.
  10. In all circumstances it is the patient’s absolute responsibility to keep the Clinic informed of any change of telephone number, postal or e-mail address.
  11. Should the clinic be unable to contact the patient due to changed contact details that have not been provided or recorded the Clinic may arrange for the patient to be traced and the patient will be responsible for payment of the charge for this service.
  12. Promotional discounts will be applied where an authorised promotional code is provided at the time of booking. Management reserve the right to decline a discount or withdraw an offer at any time.

Harley Street Fertility Clinic will collect and hold information about you to enable you to receive the correct care and treatment (we are a registered Data Controller), please request a copy of our “Privacy notice” for more information.

Payment Terms

  • In the interest of our patients and staff, we no longer accept cash or cheque payments.
  • Payments can be made using bank transfer or by debit/credit card only.
  • Payment for all services should be made in advance or at the time the service is rendered
  • If your care is being covered by insurance or a third party funder, you will require pre-authorisation or a letter of guarantee otherwise you will need to cover the payment and seek reimbursement.

    All initial consultations or treatments with a Doctor or fertility clinician require a clinical booking which can be made via by our New Patient Enquiry or patient Coordination Teams over the phone.  Payment is required in full  at the time of booking for Initial consultations and Fertility Health packages.  All treatment invoices must be settled in full prior to treatment.   All appointment cancellations less than 48 hours' notice or no shows will carry a minimum charge of £50. 
    Initial Consultations can be paid by credit card by our secure payment merchant provider, Global Payments. Ongoing treatments can be paid via our online payment gateway using your unique patient ID.
